Frequently asked questions

Everything you need to know about certification tracking, reminders, pricing, and compliance exports.

Getting started

CertGuard is an online certification and license tracker built for self-employed professionals and micro companies.

Upload your documents, set expiry dates, and receive automated email reminders.

When clients, regulators, or tenders ask for proof, you can export a compliance pack PDF in one click.

CertGuard is designed for sole traders, freelancers, contractors, and small teams of up to around ten people who track compliance themselves.

Typical users include tradespeople, healthcare professionals, IT contractors, consultants, and small construction or facilities firms.

Most users add their first certificate in under two minutes.

Create a free account, upload a document or enter certificate details manually, and set the expiry date. CertGuard begins tracking it immediately.

You can add more certificates at any time from your dashboard.

No. The 14-day free trial starts immediately with no credit card required.

You can track up to three certificates during the trial.

Upgrade to a paid plan only when you are ready — billing is handled securely through Stripe.

Yes. CertGuard is a responsive web application that works in any modern browser on desktop, tablet, and mobile.

There is nothing to install — sign in from site, office, or on the go to check expiry dates and upload new documents.

Industries & document types

No. CertGuard works for professionals and micro businesses in any country.

Users track UK Gas Safe and ECS cards, US state contractor licenses, Australian trade qualifications, EU professional registrations, insurance policies, training certificates, and more.

Pricing is shown in your local currency where available.

You can track any document with an expiry or renewal date.

Examples include trade licenses, professional certifications, permits, insurance policies, DBS checks, first-aid certificates, health and safety training, CPD records, vehicle or plant licenses, business registrations, and professional body memberships.

Common professions include gas engineers, electricians, plumbers, builders, HVAC technicians, nurses and carers, physiotherapists, accountants, IT contractors, security installers, scaffolders, and facilities managers.

If your work depends on keeping credentials current, CertGuard fits.

You can upload PDF, JPG, JPEG, and PNG files for each certificate.

Documents are stored securely in encrypted cloud storage and can be downloaded again from your dashboard at any time.

Reminders & compliance

When you add a certificate with an expiry date, CertGuard automatically schedules email reminders at 90, 60, 30, 14, 7, and 1 day before expiry (based on your plan).

You can also customise how many days before expiry you want to be notified for each certificate.

A compliance pack is a professionally formatted PDF listing all your valid and expiring-soon certificates — ideal for tender submissions, client onboarding, site audits, and regulator requests.

Each pack includes a unique verification code so clients and auditors can confirm it online at certguard.co.uk/verify-pack.

Paid subscribers and active trial users can generate it in one click from the dashboard.

Every compliance pack PDF includes a verification code (for example CG-A1B2C3D4).

Anyone can enter that code at certguard.co.uk/verify-pack to confirm the document was issued by CertGuard.

They can also view the certificate summary recorded at the time of export.

CertGuard complements — rather than replaces — reminders from awarding bodies and insurers.

It gives you one central place to track everything across multiple providers, team members, and document types.

Nothing slips through if an external email is missed.

Yes. Your dashboard shows counts for valid, expiring soon, and expired certificates.

You can filter and search by status, name, or team member.

You always know what needs renewal before it blocks work.
